SKILLS REQUIREMENTS:

  • Minimum 2 years work experience;
  • Minimum 1 year experience on a similar position;
  • Proficiency in Microsoft Office;
  • Bachelors or Masters degree;

Good communication abilities in English;

 

Would be a plus: 

  • Experience in project management and event planning
  • Experience working with HR, FINANCIAL and other types of Enterprise Resource Plannig solutions like: SAGA, CHARISMA

 

WHAT YOU’LL DO:

  • Manage and create internal correspondence (receive and send calls / e-mails / messages);
  • Manage daily shipping’s, preparing relevant documents (AWB etc);
  • Manage traveling and accommodation plans for internal/external clients; (ordering Uber/Taxi etc)
  • Allocate – entry and exit numbers for documents entering and leaving companies;
  • Manage the archiving of contracts concluded both with customers and with suppliers / partners (scanning, filing);
  • Manage relations with suppliers, requesting offers, purchasing and receiving (e.g. fuel suppliers, insurance, car dealers )
  • Manage reception and distribution of fruits, foods and office products within the company;
  • Manage invoices and cash receipts received from internal or external clients according to financial and accounting departments
  • Manage administrative service providers (e.g. cleaning company staff, );
  • Ensure needed protocol for meetings/internal events within the company (finger food, coffee, water, orders for lunch);
  • Provide specialized support for shared services such as HR, FINANCIAL, MARCOM, PROCUREMENT and SALES Examples:
    • HR – prepare and manage EU Funds personnel documents/files,
    • FINANCIAL – enter and validate data in excel, prepare reports, fill out legal forms;
    • MARCOM – event planning and implementing, prepare event materials, wrap gifts;
    • PROCUREMENT – file management, receiving goods;
    • SALES – prepare sales materials, protocol
